Create search filters in Jira

  • Save and share search results as filters
  • Create email notification schedules for your search filters
  • Export search results

Create a filter

In Jira, a filter is a saved set of search criteria. Filters are used in many ways throughout Jira, including as the data source for boards, reports, and dashboards. You can also update filters with new criteria after you create them.
To create a filter:
  1. Set your search criteria using the dropdown menus in basic search or using JQL.
  2. Search and confirm that your search criteria returns the results you want.
  3. Click Save filter. Enter a name and description.
  4. Select who can view and who can edit your filter. You can limit these permissions to specific groups, projects, users, or private, meaning only you can view or edit. You can also allow everyone in your organization to view the filter’s results.
  5. Click Save.

Because filters save search criteria, a filter may return different results over time.

👉 For example: Let’s say you create a filter that searches for all work items assigned to Jan with the label “bug.” If Jan creates a new work item assigned to herself with the “bug” label, that would appear in your filter’s results.

If you want your filter’s search results to stay the same, consider adding search criteria for created date.

Organize and find filters

You can see and use other users' filters, if you have permission to see them. To see all filters in your site, in the sidebar, under Filters, select View all filters.
You can star any filter, including ones that you’ve created, to easily find them later. Starred filters appear at the top of the Filters section in the sidebar.

Subscribe to a filter

If you want to regularly check the results of a filter, you can subscribe to it.
To subscribe to a filter:
  1. Run the filter in search by selecting it from the Filters page or sidebar.
  2. Click Filter details.
  3. In the Subscriptions section, click Add subscription.
  4. Select Personal subscription if you want to subscribe yourself or select a group if you want to subscribe others.
  5. Configure the schedule, interval, and time when which you want to receive an email.
  6. Select whether you want to receive a notification even if the filter returns no results.
  7. Click Subscribe.

Share your search results

You can also share search results with your teammates, either through a saved filter or unsaved search results.
👉 For example: If a teammate asks for a way to see all Critical priority work items in two projects, you can set that criteria, then share the results of that search with them.
To share the search results:
  1. Set your search criteria using the dropdown menus in basic search or using JQL.
  2. Click Search and confirm that your search criteria returns the results you want.
  3. Click Share.
  4. Share your search results with specific users, teams, or email addresses. You can also add a message. Or, click Copy link to get a link to those search results.

If you share a filter, users will receive a link to the filter. If the user doesn’t have view permissions for the filter, they’ll just see the search results as an unsaved search.

Export your search results

If you want to share your search results with someone outside of Jira, or if you want to analyze the results in another tool, you can export your search results. To export search results, click Export, then select one of the export options, which include XML, HTML, CSV, and XSLX.
