Maintain pages in a Confluence space

10 min
Intermediate

By the end of this lesson, you'll be able to:

  • Purge or restore deleted and archived pages from Confluence
  • Organize space content using bulk actions in the content manager
  • View and manage content in your space, like hidden pages, undefined links, and attachments

Permanently delete pages

You can permanently delete a page (and all its attached files) by purging it from the trash. Once purged, the page and all its versions and attached files will be gone for good.
To purge a page from a space’s trash:
  1. Go to the space and select the ... (three dots) next to the space name to bring out the space pop-out menu.
  2. Select Space settings from the space pop-out menu.
  3. Expand Content and select the Trash tab.
  4. Find the page you need and select Purge next to it.
Note: Only Confluence admins can access space settings.

Restore deleted content

Space admins can restore content that hasn't been permanently deleted.
To restore a deleted item:
  1. Select Space settings from the sidebar.
  2. From the sidebar, select Content. Then, select Trash.
  3. Select Restore next to the item you wish to restore.
When you restore an item, it won't return to its previous location. The restored content will lose its inherited permissions and be restored to the root of the space. It also won't be visible from the space sidebar.
👇Restore or purge content from the Trash in Space settings.
The Trash screen of Confluence space settings. There is one content item with the Restore or Purge options next to it.

To find a restored item, go to Space settings and select Content. Then, select Reorder.

What is the Confluence content manager?

The Confluence content manager is a tool that space admins of Confluence Premium or Enterprise can use to manage pages in a space and perform bulk actions on them.
The content manager displays a view of the content tree as an informational table. This allows you to assess your content before applying actions, such as bulk archiving, deleting, or changing the page’s owner or status. You can perform these actions on a single page or in bulk with hundreds of selections at a time.
👇You can find the content manager in the sidebar when viewing Space settings.

Filter your content

The filters in the content manager allow you to quickly locate specific types of content based on specified criteria. This functionality is particularly useful for identifying content that requires attention.
👇 Click the boxes below to learn about the currently available content manager filters.

Make bulk changes to your content

Once you have narrowed the content, and have identified problem pages, you can select them and perform actions on them. These actions include:
  • Archive
  • Delete
  • Change status
  • Change owner

What are hidden pages?

Hidden pages are pages that get lost in the shuffle. Hidden pages have no parent and don’t have links to them. They are stored in the “root" of the space, meaning at the same level as the space’s home page. So, if you don’t know the page exists, you’re not likely to come across it and the content can't be found easily.
There are two ways to fix hidden pages:
  • You can easily identify hidden pages from Hidden tab under the Content section of the Space settings. Here, you can tidy up the space by deleting or editing the pages.
  • You can reorder the hidden pages and move them beneath a parent page from the Reorder tab in the Content section of the Space settings.
You can also use hidden pages to "hide" pages from the page tree.
👉 For example: You can use the Page Include macro to include the content of hidden pages again on other pages in the page tree. This is useful if you often reuse the same content on different pages.

View undefined pages

Users can link to a Confluence page that doesn't exist by adding an undefined link. When you select the link, Confluence will create a draft page with that title that you can edit and publish whenever you're ready.
Space admins can view undefined pages in their space.
To view a list of the undefined links in a space:
  1. Select More actions (represented by •••) from the sidebar and select Space settings.
  2. Expand Content, and then select Undefined.
The undefined page links have a green badge to remind you that these pages haven't been published yet. Select an undefined page link to create a draft and add content to it.

View space attachments

Space admins can search and view attachments within their space. This is useful if you're trying to find a specific attachment, or if you want to see which attachments are taking up the most space.
To view a list of attachments in a space:
  1. Select More actions (represented by •••) from the sidebar and select Space settings.
  2. Expand Content, and then select Attachments.
  3. Filter by extension or label. Or, select any of the column headers to sort the list.
👇 View attachments in a space through Space settings.
